The Rise of the Virtual Office and the Technologies to Support It

Let’s face it: not all companies need an office full-time. Some companies don’t need an office at all. Given that maintaining a physical office presence is an expense that eats up a lot of a company’s budget, more and more companies are choosing to go virtual.

Davinci Virtual Office Solutions sells a truly 21st century product: a virtual office. For companies that wish to maintain an office presence but don’t wish to foot all the expenses involved, Davinci offers both physical meeting spaces and a variety of tools, including include local or toll-free telephone and fax numbers, voice mail, fax, e-mail, online command centers, unified messaging, professional live receptionist services, virtual assistants (VA), live call answering and call forwarding, surveys, outbound calling, customer service, appointment scheduling, order taking, and more.

The company’s DavinciMeetingRooms.com service, launched last year, is an online reservation platform that provides access to customers to more than 3,000 conference rooms, day offices, meeting spaces and business support services in over 900 locations around the globe. The service allows users to search and compare professional meeting spaces, book and manage conference room reservations, reserve a variety of add-on services, find meeting rooms in their geographical vicinity using mobile GPS applications, and check in for meetings at the locations with a digital membership card.

Recently, the company adopted a new technology to complement DavinciMeetingRooms.com. Thanks to an agreement with EVO Technologies' HostedSuite application, the companies have integrated live inventory between DavinciMeetingRooms.com and the EVO product.

The new API integration allows office business centers that are using EVO Technologies' cloud-based HostedSuite software to now publish live meeting space inventory and on-demand services to Davinci's online reservation platform. Davincimeetingrooms.com customers can now reserve conference rooms and day offices at locations that are using EVO Technologies' HostedSuite platform in real-time, manage changes and receive instant confirmations.

Virtual meetings, thanks to new video conferencing technology and new standards such as WebRTC, are becoming the rule rather than the exception. As companies try to rein in travel budgets, they are turning to ways people can communicate and work with one another remotely. WebRTC, a relatively new standard that allows people to communicate by voice and video across different browsers and with no plug-ins or applications to download, will soon turn every computer or wireless device with a high-speed Internet connection into a means through which workers can collaborate, chat or hold formal meetings.

New communications technologies such as these, coupled with the increasingly popular concept of a “virtual office” to be used only when needed, may soon see companies entirely without bricks and mortar, leaving them with enough capital to build their business…not their physical premises.
